Accompanying persons are not allowed to attend scientific sessions neither to enter the exhibition area.
Registration invoice and confirmation letter with QR code
Upon completion of payment, all delegates will receive an email in due course with the registration invoice.
A few days before the beginning of the Congress, delegates will receive a reminder email with personal name badge and QR code to be printed out and more instructions on how to access the event.
Cancellation and refund policy
Registration refunds will be granted if notification of cancellation is sent in writing to EV Secretariat before 31 March, 2026. After this date, refunds will not be made. Refunds are issued based on the payment method used at the time of purchase.
Delegates are responsible for obtaining their visa on time. In the event, the visa is denied or could not be obtained, there will be no refunds.

In the event that the Congress cannot be held or is postponed due to events beyond the control of the Organisers (Force Majeure*) or due to events which are not attributable to wrongful intent or gross negligence of the Organisers, the Organisers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, or any other indirect losses or consequential damages.
*An event of force majeure shall include, without limitation, Acts of God, war, riot, fire, explosion, accident, flood, earthquake, sabotage, epidemics/pandemics, strike of employees other than those of EAA, inability to obtain power, fuel, material or labour or acts of any government.
Travel insurance
Adequate travel protection is highly recommended for all participants as it protects travellers from risks such as cancellation, loss of passport or checked baggage and may offer coverage for unexpected medical expenses. Having these risks covered ensures an additional layer of protection against financial loss.
